Your personal record

Sidebar → My record, at the very bottom. Every member of staff has it, whatever their role — it is the one page that is never hidden from anybody.

What it is

Your own HR file: your bio-data, Ghana Card and SSNIT numbers, contact details, bank details, next of kin, and your qualifications.

It is yours. You can see and edit only your own record, and that rule is enforced on the server, not just hidden in the interface. You cannot open a colleague's record here, and no ordinary teacher can open yours.

Why you are being asked to fill it in

Schools need this for payroll, for GES returns and for emergencies. Traditionally it is collected on paper, chased by the bursar, and typed up twice.

Filling it in yourself is faster for you and removes the transcription errors. The person chasing you can see who is still outstanding — they see the completion status, not your bank details on a list.

The top of the page shows how far along you are, and in plain language what is still missing — not a list of field names, but what to go and find.

You do not have to do it all at once. Save what you have; the bar moves; come back with the rest.

Printing it

You can print your own record — useful when a form is needed for a bank, a loan application or a professional body.

Correcting something

Everything here is yours to edit, so correct it yourself.

The exceptions are the things that describe your job rather than you — your role, the subjects and classes you teach, and your form class. Those are set by your administrator in People → Staff, because they control what you can do in the system. If your teaching assignments are wrong, see Why you only see your own classes.

A note on privacy

This is real personal data — ID numbers, bank details, next of kin. Sign out properly on a shared or school computer rather than just closing the tab, and if you think somebody else has used your account, change your password and use Sign out all other devices in the account menu.
