The academic calendar
Set the year, the term and the reopening date — and what happens at rollover.
Sidebar → Planning & Setup → Academic Calendar.
Three things live here: the academic year, the current term, and the reopening date.
They matter more than they look. Marks, assessments, attendance and fees are all stamped with the year and term that were current when they were recorded. Report cards assemble only the current term. So the calendar is not a display setting — it is what the rest of the system sorts itself by.
Setting it up
Set the year and term to where the school actually is today, and set the reopening date to the day pupils return. Until a real reopening date is saved, the Dashboard treats this step as outstanding.
What happens when you change the term or the year
Changing either one is a rollover, and saving opens a guided dialog rather than just writing the value. You can review every step and back out before confirming; nothing is written until you confirm, and then it is written in one go.
Moving to a new term
One step: a billing preview, so you can see what the term's billing looks like before you commit.
Moving to a new academic year
Three steps:
- Class mapping — where each class moves next year. Final-year classes are set to Graduate (leave school) by default; change any that should not.
- Student review — the students in each class, so you can hold individuals back. Anyone you untick repeats their current class instead of moving up. Students already marked as graduated are not offered again.
- Billing preview — the result, with graduates excluded and repeaters left where they are.
Do this after the term's report cards are published, not before. The End of Term checklist puts the steps in the right order: finish marks → lock them → head remarks → publish → roll over.
Per-student subject choices survive a rollover. A student who took an elective keeps that choice when they are promoted.
