Roles: who can do what

The eight roles, what each one sees, and which to give whom.

A login has one or more roles. The roles decide what appears in that person's sidebar and what they are allowed to do. Set them in Sidebar → People → Users & Access.

Two things every signed-in staff member gets regardless of role: the Timetable, and My record at the foot of the sidebar.

Choosing the right one

  • School Administrator — full control, including Settings, Users & Access and Billing. Give this to as few people as the school can manage with.
  • Head Teacher — everything academic plus staff and fee visibility, but no Settings, no Users & Access, no Billing. The usual role for a head.
  • Proprietor — read-only oversight of results, fees, staff and analytics. Only offered for privately-owned schools.
  • Exams Officer — runs assessment and results. Can configure subjects, enter and lock marks, and write remarks, but cannot publish report cards.
  • Accountant — fees, payments and billing. Sees students, but nothing academic.
  • Registrar — enrolment only: admissions and the student roster.
  • Form Master — a teacher plus their form class: attendance, the My Class page, and bulk report cards and remarks for their own class.
  • Teacher — their own subjects and classes.

Two rules worth knowing

Teachers and Form Masters are scoped. They see only their own classes and subjects, not the whole school. Every other role sees the school. If someone holds a scoped role and an unscoped one, they get the full unscoped view.

Some sections are switched on per school, not per role. Messaging is a feature your school must have enabled, so it can be missing from the sidebar even for a School Administrator. If a section appears but says it is unavailable, that is a school-level setting — contact your operator.

Changing someone's role

Change it in Users & Access and it takes effect the next time they load a page. You cannot remove the last account that can manage users — the system blocks it so a school cannot lock itself out.
