Report cards
Print one card or a whole class, write remarks, and generate head remarks in bulk.
Sidebar → Results → Report cards. Three tabs: Single, Bulk and Auto-generate remarks.
Who sees what: any teacher can view report cards for students in their scope. The Bulk tab needs bulk-report permission — a Head Teacher, Exams Officer, Form Master or administrator. Auto-generate remarks is for heads.
The two remarks are not the same thing
A finished report card carries two written comments, and they are made in different places by different people:
| Who writes it | Where | |
|---|---|---|
| Class teacher's remark | The form master or class teacher | Report cards → Single, per student |
| Head teacher's remark | The head | Report cards → Auto-generate remarks, or per student |
A card is only "ready" when the marks are complete and the class teacher's remark is written. Until then the Print button reads Complete report first rather than Ready to print.
One student at a time
Report cards → Single. Pick a student and the card renders as it will print.
- Previous / Next step through the class.
- Next without remark jumps straight to the next card still missing a remark — the fastest way to clear a class.
- Preview style offers Modern (a contemporary, dashboard-like layout) and Classic (the formal traditional format). It changes the printout, not the data.
- Save remarks writes your comment.
Remark templates
Rather than retyping the same sentences, save your own templates and insert them.
A template can contain {first}, which is replaced with the student's first
name when you insert it.
Each template is up to 500 characters, and you can keep up to 30 of your own. They are yours — other teachers do not see them.
Printing before it is ready
If you print a card with missing marks or no remark, you get a warning saying exactly what is missing, and a Print anyway button. It is a warning, not a block — sometimes you genuinely need the incomplete card.
Cards are laid out for A4. Use your browser's print dialog; "Save as PDF" there gives you a file to email.
A whole class at once
Report cards → Bulk.
Choose what to print — Report cards or Transcripts — then how to group them: by Class, Programme, Division, or the whole School. Pick the group and print. Everything comes out in one job, one card per page.
This is the tab to use at the end of term. Printing 200 cards one at a time is the thing this exists to prevent.
Head remarks in bulk
Report cards → Auto-generate remarks. Heads only.
Typing a head remark on every card does not scale past a couple of hundred students, so this drafts them and lets you review before anything is saved.
Generate produces a remark per student, chosen from the student's average and their attendance:
| Band | When |
|---|---|
| Attendance concern | Attendance is below your school's threshold — this overrides the score band |
| Excellent | Average 80% and above |
| Very good | 65–79% |
| Good | 55–64% |
| Satisfactory | 50–54% |
| Needs improvement | Below 50% |
Attendance is a hard override on purpose: a student with good marks and poor attendance should not be sent home with a remark that mentions only the marks.
Your school's attendance threshold is set in Settings → School setup.
Then review. Every row has a tick — untick anyone you want to leave alone. Select all / Select none work on the whole list, Regenerate rewords one student, and Regenerate all rewords the lot. Edit any of them by hand; what you see is exactly what gets saved.
The generated text is a draft, not a decision. Read it before you save. It is going home to a parent with your name on it.
Releasing cards to parents
Writing and printing report cards does not show them to anybody. Parents see a report card only once the term is published — see Ending the term.
The Single tab shows the current state as a pill: Published · 12 Aug, or Not published.
When a report card looks wrong
- Blank or partial subjects — marks are not finished. Check Marks monitor from the Dashboard for who still owes what.
- A subject missing entirely — it is not offered to that class. See Classes, subjects and programmes.
- Attendance looks wrong — it is worked out from the daily registers, so it is a question for the form master.
- A parent sees an old report — the term was published, then marks changed. Republishing updates what they see.
